Position Title: Performing Arts Assistant Trainee

Department: Performing Arts

Reporting to: Director, Performing Arts

Key Relationships: Associate Producers, Junior Festival Curator, external partners and artists

Type of Employment: Contract

Period of Employment: May 1, 2022- March 30, 2023

As this position is based on a grant, the candidate must identify as from a First Nation, Métis, or Inuit Background. Must be registered with Miziwe Biik Aboriginal Employment and Training. Must be a current GTA resident.  

Summary of Function:  
Reporting to the Director, this position will be responsible for attending the May 21-23, 2022 Junior Festival, and assisting the Producer where need be, and assisting with administration, implementing critical paths and coordinating outreach for the 2023 Junior Festival, as well as other Performing Arts programs when/if need be. This is a producing assistant position with a heavy administrative component.

Duties: 
Planning & Execution May 2022: 

– Assist with the producing activities leading up to the 2022 Junior Festival, attend the Festival May 21-23, 2022 (long week-end) and be available for last minute requests; ;
– Conduct outreach for the Junior Festival and other events: research community groups and other audiences who may have an interest in our programs; contact/liaise with groups; disseminate information; support collaboration with community groups;

June 2022-March 2023: 

– Assist in implementing critical paths, coordinating the scheduling, ensuring that projects are completed in a timely manner, in line with department scheduling;
– Assist with administrative tasks such as communication with artists and assisting with contracts; generate, update and file documents; internal communications;
– Assist with company management for booking of travel and accommodation, liaising with artists to confirm itineraries;
– Participate in weekly staff meetings;
– Participate in production meetings;
– Take and distribute minutes;
– Coordinate archival of materials;
– Assist with on-site and/or virtual events – day-of activities: shows, productions, presentations, etc.;
– Generally assist Festival Associate Producer and other team members as required

Skills & Requirements 
– Post-secondary education in performing arts, marketing, communications or business is preferred
– 2-years experience in a comparable role in an arts related not-profit organization
– Strong oral and written communication skills
– Superior organizational, time and project management skills
– Strong attention to detail
– Excellent interpersonal skills, able to work alone as well as in a team environment
– Experience in performing arts production and/or presentation
– Resilient and flexible
– French language an asset

– Job involves freedom of movement- standing, sitting, walking
– Job involves long periods of walking/standing during the Festival week-end, and long periods of sitting otherwise
– Job involves concentration while checking details and accuracy of contracts, schedules and marketing materials
– Job involves a hybrid model of working on site and working from home on a personal laptop, if available, with a reliable internet connection
– Job requires the self-discipline and stamina to work 7-hour days X 5 days a week, from home or the office

Working Conditions 
-Works with deadlines and varying schedules
-Working conditions are a normal office environment with the usual risks and discomforts, no special safety precautions required
-Working conditions are based on a Monday-Friday 9am-5pm work week but may include overtime, and will require weekend work. – – -Work schedule will be adjusted accordingly

Hourly Rate 

$18.00 per hour
